Rent Ledger: How To Track Rent Payments (Free Template Layout)
A rent ledger is a running record of what each tenant owes and pays. It's your evidence if there's ever a dispute, and it makes tax time easier.
What to record for every entry
| Date | Description | Charge | Payment | Method | Balance |
|---|---|---|---|---|---|
| Nov 1 | November rent | 1,450 | 1,450 | ||
| Nov 2 | Payment | 1,450 | ACH | 0 |
- Date the charge was due or the payment was received
- Description: rent, late fee, utility reimbursement, repair charge
- Charge and payment in separate columns
- Method: check number, bank transfer reference, app
- Running balance
Good habits
- ☐ One ledger per tenancy
- ☐ Record payments the day they arrive
- ☐ Give receipts, especially for cash (some states require them)
- ☐ Keep rent in a separate bank account
- ☐ Apply late fees only as your lease and state law allow
Partial payments
Accepting a partial payment can affect your rights in some states, especially if an eviction is underway. Learn your state's rules before you accept one.
Security deposits
Track deposits separately; they're usually not income while you hold them. Some states require separate accounts or paying interest.
At year end
Total rent received and other income by property for Schedule E (see rental expense categories). Keep the ledger with your tax records.
